Event Policies

This page outlines our booking, payment, travel, and safety policies so expectations are clear and your event runs smoothly. Questions? Reach out — we’re happy to help.

Booking & Payment

  • A $100 deposit is required to reserve your date/time. Deposits are non-refundable.
  • The remaining balance is due 5 days before the event. You may also pay in full at booking.
  • If final payment isn’t received by the due date, the reservation may be cancelled.

Travel Fees

  • Travel is included within 20 miles of ZIP 21702.
  • Beyond 20 miles, travel is charged at $2 per mile outside the included radius.

Cancellations

  • Deposits are non-refundable.
  • Cancellations made within 72 hours of the event may be subject to additional charges due to staffing and scheduling commitments.
  • No-shows or inability to access the event location may result in full event charges.

Rescheduling

  • Reschedule requests should be made at least 72 hours before the event and are subject to availability.
  • Requests made within 72 hours may incur a rescheduling fee.

Weather

  • Light rain or normal weather does not qualify for cancellation.
  • For severe or unsafe conditions (e.g., lightning, extreme winds, hazardous roads), Elite XP Parties may reschedule for safety.

Parking & Access

  • Host must provide roughly 40 feet of level parking space for safe setup.
  • Driveway parking is evaluated case-by-case based on slope, clearance, and access.
  • Host is responsible for ensuring the parking area is clear (cars, cones, trash cans) before arrival.

Food & Drinks

  • No food or open beverages inside the gaming area.
  • Closed-lid water bottles may be permitted.
  • Damage caused by food/drinks or misuse may result in additional charges.

Supervision & Safety

  • A responsible adult (18+) must be present on-site during the entire event.
  • Elite XP staff supervise the gaming experience; hosts remain responsible for guest behavior outside the truck.
  • Please follow staff directions regarding capacity, rotation, and safe entry/exit.
